What needed to change.
The academy runs digital campaigns across Google and Meta to recruit students for pilot training programs. Most enquiries arrive on WhatsApp at unpredictable hours. With a small counseling team, first responses could take 4 to 8 hours on weekdays and stretch into Monday for weekend enquiries.
Serious prospects were losing interest before anyone replied. Counselors were also spending most of their day answering the same questions about eligibility, fees, and course structure.

We built a centralized lead and WhatsApp app that connects Meta Lead forms, Google campaign sources, and direct WhatsApp enquiries into one system. An AI-powered first responder handles every incoming message: it collects contact details, shares the right course brochure and fee structure, answers common questions about eligibility and entrance exams, and books campus visits.
The counseling team only picks up once a student is ready to confirm a walk-in or wants a detailed conversation. Every chat is tagged, logged, and routed into the lead pipeline automatically.
